Custom Laravel ERP for Retirement Homes & Elderly Care Facilities
RemoteMage replaced a retirement home’s paper record-keeping with a secure, real-time platform — managing the full lifecycle of elderly care operations, from patient admissions and daily treatments to drug depot inventory and financial cost analysis.
Every administration is validated against live depot stock before it’s confirmed.
Project overview
One platform for doctors, nurses, and administrators
RemoteMage designed and developed a custom Laravel ERP for a retirement home to replace manual record-keeping with a secure, real-time digital platform. The system manages the full lifecycle of elderly care operations — from patient admissions and daily treatment schedules to drug depot inventory control and financial cost analysis.
Built on Laravel 11 and Filament PHP v3, the platform serves as a centralized hub where doctors, nurses, and administrators collaborate across shifts. Every module was designed with non-technical end users in mind, so frontline care staff can operate the system confidently on tablets and mobile devices.
The challenge
Dozens of moving parts, all coordinated on paper
- No digital patient records. Profiles, treatment plans, and medication histories were maintained on paper, making retrieval slow and error-prone.
- Untracked drug inventory. The medical depot had no reliable system for batch quantities, expiration dates, or consumption rates — leading to expired stock and shortages.
- Manual stock audits. Physical counts required days of cross-referencing paper logs, with no way to reconstruct historical stock for compliance.
- No financial visibility. No consolidated view of medication costs per patient, per care grade, or per month.
- Multi-user coordination. Nurses across shifts needed simultaneous, role-appropriate access without conflicts.
Key features & modules
What we built
Patient & care grade management
A centralized patient management system with comprehensive profiles — personal details, admission dates, and automated classification by care grade (I, II, III). Each profile links to active and historical treatments, giving staff a complete medical timeline at a glance.

Treatment & medication administration
- Chronic (recurring) treatments — daily schedules mapped to times of day in standardized X-X-X notation (morning-noon-evening)
- Intermittent (one-time) treatments — individual medical events with product, quantity, and timestamp
Real-time stock checks run before any medication event is confirmed — insufficient inventory blocks the administration and alerts the nurse.

Intelligent drug depot & inventory control
Batch-level tracking of quantities, expiration dates, and unit pricing. When medication is administered, an automatic FIFO algorithm deducts stock from the earliest-expiring batch — eliminating the risk of expired medication being overlooked.

Historical stock snapshot (audit tool)
Management selects any past date and instantly sees reconstructed inventory for every product as of that moment:
A multi-day manual count became a single-click digital report with Excel export.

Printable treatment data sheets
Branded PDF treatment data sheets for any patient — complete chronic medication history, dosage patterns, and facility branding — automatically named with patient and timestamp.

Reporting, analytics & access control
- Patient cost reports across any date range
- Product usage analysis per depot product
- Searchable administration history — a full audit trail
- Monthly cost charts by care grade, all with Excel export
Granular role-based access for administrators, doctors, and nurses via Filament Shield.

Tech stack
Built on a modern, maintainable foundation
Results & business impact
From paper binders to a single click
| Metric | Before | After |
|---|---|---|
| Stock audit prep | 3–5 days of manual counting | Instant single-click historical snapshots |
| Medication error risk | High — paper-based, no validation | Minimal — real-time checks + FIFO automation |
| Financial reporting | End-of-month manual spreadsheets | Real-time dashboards with Excel export |
| Documentation | Handwritten logs | Searchable digital records with PDF export |
| Multi-user access | Shared paper binders | Role-based secure concurrent access |
Why RemoteMage
Problems no off-the-shelf platform handles well
This project required reconstructing accurate drug inventory at any historical date for regulatory audits, enforcing FIFO batch depletion automatically at the point of care, and making all of it usable by non-technical nursing staff on tablets.
We built every feature around a specific operational constraint, in close collaboration with the client team. The result is a system they own and maintain independently.
